Licence terms

The AlumDeck licence, in plain English

This is the whole licence. It is written in short sentences on purpose, because a licence you cannot read is a licence you cannot check.

Version 1.0, August 2026. This page is the plain-English licence and it is the operative one. There is no separate longer legal document that overrides it.

Terms

These terms apply to every AlumDeck licence bought from alumdeck.com. Buying a licence means you accept them.

What you are buying

You are buying a licence to install and run AlumDeck. The price is $49, paid once, for each installation. You are not buying the copyright in the software. We keep that.

You are also buying one year of updates and one year of email support, counted from the date of purchase.

One installation for each licence

One licence covers one live installation. That means one AlumDeck site, on one domain, for one institution or association.

A second live site needs a second licence. If you install AlumDeck for a client, that installation needs its own licence. There is no limit on how many licences you may buy.

A staging copy is allowed

As well as the live site, you may run one staging or test copy of the same site. Use it to rehearse an install, try an update or test a change.

The staging copy must not be a second public site. Keep it closed to the public and to search engines, especially once it holds real member data.

Unlimited members, users and admins

There is no limit on the number of alumni records, member accounts, administrators or page views. You are never charged per record. Your own hosting is the only practical limit.

You get the source code

The code is supplied readable. It is not encoded, obfuscated or locked to a licence server. Your site does not have to contact us to load a page.

You may change the code for your own installation. If you do, keep a note of what you changed, because an update replaces application files.

What you may not do

  • You may not resell, sublicense, rent or give away AlumDeck, in whole or in part.
  • You may not publish the source code, or share it outside the people working on your installation.
  • You may not sell a modified version, or a derivative product built from this code.
  • You may not use the code as part of a product or service you supply to other people.
  • You may not share your licence key.

Running your own alumni site for your own institution is the intended use. Turning AlumDeck into something you sell is not.

The licence file stays where it is

The installation includes a licence file. Do not remove it, rename it or edit it. It is how an installation can be shown to be licensed.

Removing it does not switch anything off. There is no kill switch in AlumDeck. It does, however, break these terms.

Updates and support: one year

For one year from purchase you get every new version we release, and email support from the people who wrote the software.

Support means answering questions and helping you fix problems in AlumDeck itself. It does not include logging into your server, custom development, theme design, or fixing your hosting.

After the year

Your right to use the version you installed is perpetual. It does not expire. The site keeps running exactly as it is, with all of your data in your own database.

What stops is access to new versions and to support. Renewal is optional and buys another year of both. Nothing switches off, nothing is locked, and there is no countdown in the admin panel.

Refunds

If AlumDeck will not install on a host that meets the published requirements, ask for a refund within 7 days of purchase and you will get your money back in full.

Send us the server check screen when you ask. Usually it shows a setting your host can change in a minute, and you keep the software instead. If it cannot be fixed, we refund.

Outside those 7 days, or where the software installs and runs as described, refunds are at our discretion. Because you receive the full source code at purchase, we cannot offer an open-ended returns policy.

What we do not promise

AlumDeck is supplied as it is. We do not promise that it is free of faults, that it will suit a particular purpose, or that it will run without interruption on hosting we do not control.

We are not liable for lost data, lost income or any indirect loss arising from using the software. Our total liability to you is limited to what you paid for the licence.

Self-hosting means backups, security updates and server maintenance are your responsibility. Please take backups.

If these terms change

Changes apply to licences bought after the change. The terms you bought under continue to apply to your licence. Any change is recorded on the changelog with the date it took effect.

This page is the operative licence. If you need it as a document for a finance or legal office, ask and we will send this text as a signed PDF.

Questions about the licence

If anything here is unclear, or your finance office needs wording it recognises, ask before you buy rather than after. Multiple installations, invoices, purchase orders and moving a licence between organisations are all normal questions and none of them is a problem.

Write to us on the contact page or email hello@alumdeck.com. A person replies within one working day.
